2Scope
This policy covers radiob2b.co.uk, the members area at members.radiob2b.com, and our mobile applications. RadioB2B is a service for businesses, so most of what we hold is business contact information rather than information about people's private lives.
Loungest Limited is the controller for the United Kingdom store, so this company decides how your information is handled when you subscribe here. The other regional stores are operated by RadioPro LLC, a Wyoming company, and each publishes its own notice reflecting local law: the United States at radiob2b.com, Europe at radiob2b.eu, and other territories at radiob2b.net. If you subscribed through one of those, read its notice alongside this one. Our systems and providers are located mainly in the United States and the United Kingdom, and section 9 explains the safeguards that apply to transfers.
radiopro.dev is also ours in the sense that it carries the RadioB2B brand, but it is published by RadioPro LLC. radiopromusic.co.uk is operated by RadioPRO Ltd, a separate company, and has its own policy.
3Information we collect
Information you give us
- Account and business details: your name, business name, email address, telephone number, business type, and the addresses of the locations you register.
- Billing record: the plan you chose, amounts charged, invoice history, and a payment token plus the last four digits and expiry supplied by Stripe.
- Content you upload: recorded announcements and promotional audio, and the schedules you build.
- Support messages: what you send us by email or through the contact form.
Information we collect automatically
- Server and security logs: IP address, browser and device type, operating system, referring page, pages requested, and date and time. These come from our hosting and content delivery layer and are used to run the service and defend it from abuse.
- Service usage: which stations and zones were played at which locations, when playback started and stopped, and which staff account performed an action. We use this for the reporting features in your dashboard, for support, and for licence administration.
4What we do not do
- We do not sell personal information, and we do not share it for cross-context behavioural advertising, as those terms are used in United States state privacy laws.
- We do not run advertising on our sites and we do not use advertising or analytics networks that profile you across other websites.
- We do not receive or store full payment card numbers. Card details are entered directly into Stripe.
- We do not ask for your password by email, and you should never send it to us.
5How we use information
- To provide the service: authenticate you, stream the catalogue, run your schedules, and issue and verify your Music Licence Certificate.
- To take payment, issue invoices and manage renewals and cancellations.
- To provide support and respond to what you ask us.
- To send service messages, such as renewal reminders, billing notices, security alerts and material changes to our terms. You cannot opt out of these while you hold an account, because they are part of the service.
- To send marketing email, only where you have asked for it or where the law otherwise permits it for an existing business customer. Every marketing message has an unsubscribe link.
- To keep the service secure, investigate misuse, and enforce our terms.
- To meet legal, tax and accounting obligations, and to establish or defend legal claims, including responding to enquiries about the validity of a Certificate.
- To understand which features are used, in aggregate, so we can improve the platform.
6Legal bases
Where the UK GDPR applies to your information, our legal bases are:
| Purpose | Legal basis |
|---|---|
| Providing the service and taking payment | Performance of a contract with you |
| Service and security messages | Performance of a contract, and our legitimate interest in a secure service |
| Security, abuse prevention and enforcement | Legitimate interests |
| Product improvement in aggregate | Legitimate interests |
| Marketing email | Consent, or legitimate interests for existing customers, in each case only where UK law allows it |
| Tax, accounting and legal obligations | Legal obligation |
| Defending or bringing legal claims | Legitimate interests |
7Cookies and local storage
Use the link in the footer of any page. Withdrawing permission is as easy as giving it, and takes effect immediately.
Nothing other than strictly necessary storage is set until you have made a choice. We ask once, record what you decided and when, and ask again after twelve months or if we change what we use. Closing the panel without choosing is treated as a refusal, never as consent. If your browser sends a Global Privacy Control signal, we record an opt out automatically and do not show the panel at all.
The marketing site stores two values in your browser's local storage: rb2b_consent, which holds your privacy choice, its timestamp and the version of this notice, and rb2b_a11y, which remembers any accessibility settings you turn on. Both stay in your browser and are never sent to us. Clearing your browser storage removes them.
We use no advertising or analytics cookies on this site today. The consent panel still offers analytics and marketing categories so that your preference is on record and can be applied before anything of that kind would ever load.
The members area sets strictly necessary cookies to keep you signed in and to protect forms against cross-site request forgery. Our content delivery and security provider may set a cookie to distinguish genuine visitors from automated traffic. Stripe sets cookies on its own checkout and fraud prevention systems, governed by Stripe's privacy policy.
You can block or delete cookies in your browser. Blocking strictly necessary cookies will stop the members area from working.
We do not currently respond to browser Do Not Track signals, because there is no common standard for them. We do honour Global Privacy Control signals as an opt out request where applicable, although we do not sell or share personal information in any event.
8Who we share it with
We share personal information only with service providers who process it on our instructions, and only as far as they need it:
| Recipient | Purpose |
|---|---|
| Stripe | Payment processing, subscription billing and fraud prevention |
| PayPal | Payment processing for customers who pay by PayPal |
| Hosting and storage providers | Running the platform and storing your content |
| Content delivery and security provider | Serving the sites and blocking abusive traffic |
| Transactional email provider | Sending account, billing and support email |
| Professional advisers | Accounting, audit and legal advice |
We also disclose information where we must: to comply with law or a valid legal request, to enforce our terms, to protect our rights or someone's safety, and to a buyer or successor if our business is sold or reorganised, in which case we will tell you.
For a current list of our processors, ask through our contact form at radiob2b.co.uk/contact.html.
9International transfers
Our systems and providers are located mainly in the United States and the United Kingdom. Your information may be transferred to the United States, which has not received an adequacy decision covering every transfer.
Where such a transfer happens we rely on appropriate safeguards, normally the UK International Data Transfer Addendum, together with supplementary measures where needed. You may request a copy of the safeguards we use.
10How long we keep it
| Category | Retention |
|---|---|
| Account and business details | While your account is active, then up to 24 months |
| Billing and invoice records | Seven years, to meet tax and accounting rules |
| Certificate records | Seven years, so that past licence status can be verified |
| Uploaded announcements | While your account is active, then up to 90 days |
| Service usage logs | Up to 24 months |
| Server and security logs | Up to 12 months |
| Support correspondence | Up to 36 months after the matter closes |
We keep information longer where we need it for a legal claim or where the law requires it.
11Security
We use technical and organisational measures appropriate to the risk, including encryption in transit over HTTPS, hashed passwords, access controls limiting staff access to what their role needs, and a payment flow that keeps card data with Stripe rather than on our systems.
No system is perfectly secure. If a breach affects your personal information and the law requires it, we will notify you and the Information Commissioner's Office within the applicable deadline.
12Rights in other regions
If you subscribed through one of our other regional stores, the privacy rights of that region apply to your subscription there. United States state privacy rights are set out in the notice at radiob2b.com, and European rights in the notice at radiob2b.eu. We do not sell personal information or share it for advertising under any of them.
13Your rights under the UK GDPR
You have the right to access, rectify and erase your personal data, to restrict or object to processing, to data portability, and to withdraw consent at any time where we rely on it. Withdrawing consent does not affect processing carried out before the withdrawal.
You also have the right to object to processing based on our legitimate interests, and to complain to the supervisory authority. In the United Kingdom that is the Information Commissioner's Office at ico.org.uk. We would appreciate the chance to address your concern first.
To exercise a right, send the request through our contact form at radiob2b.co.uk/contact.html, starting the message with "Privacy" and giving enough detail for us to identify your account. We will verify you against information we already hold and will never ask for your password. We respond within one month and may extend by a further two months for complex requests, telling you if we do.
We do not use your personal information for automated decision making or profiling that produces legal or similarly significant effects.
14Children
The service is sold to businesses and is not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us personal information, contact us and we will delete it.
15Changes
We may update this policy. The effective date at the top shows when it last changed. If a change materially affects how we handle your information, we will tell you by email to the address on your account, or by a prominent notice on the site, before it takes effect.
16Contact us
Questions, requests and complaints about privacy go through our contact form at radiob2b.co.uk/contact.html, or by post to Loungest Limited, Attn: Privacy, Initial Business Centre, Wilson Park, Manchester, M40 8WN, United Kingdom. For anything else, use the same form.
